Terms and Conditions
These Terms and Conditions apply to inquiries, quotations, bookings, and commissioned photography and film/video work by Vision Run, unless a written quotation, contract, or project agreement states otherwise. A project is confirmed only after Vision Run and the client agree in writing on the scope, date, fee, deliverables, usage, and payment terms.

Services
Vision Run provides photography, film/video production, editing, colour finishing, and related visual content services for weddings, events, portraits, brand projects, commercial work, documentary projects, and commissioned visual narratives.
Quotations
Quotes are based on the project scope, date, location, coverage time, preparation, production needs, editing, delivery format, usage, licensing, travel, and any additional crew or equipment.
Unless stated otherwise, quotes are valid for 14 days. A date is not reserved until the booking is confirmed and the agreed deposit has been received.
Payment
Unless agreed otherwise in writing, bookings require a 40% deposit to reserve the date and begin preparation.
The remaining 60% is due after the shoot or production day and before final delivery of the finished files.
For larger or multi-day projects, Vision Run may agree a staged payment schedule in writing.
Invoices should be paid within the payment period stated on the invoice.
Cancellation and rescheduling
Cancellations must be made in writing.
The deposit reserves the date and covers preparation, administration, and loss of availability. Unless mandatory consumer law says otherwise, the deposit is not refundable after booking confirmation.
If a client cancels or postpones within 48 hours before the agreed shoot or production start, Vision Run may charge costs already incurred and may charge up to the remaining agreed fee where the reserved time cannot reasonably be rebooked.
If rescheduling is possible, Vision Run will try to find a suitable new date. Rescheduling depends on availability and may involve extra costs for travel, crew, venue, rental, or other committed expenses.
Nothing in these terms limits mandatory consumer rights that cannot legally be limited.
Consumer withdrawal
If a consumer agreement is concluded at a distance, a statutory withdrawal period may apply. Where such a right applies, Vision Run will respect it.
Some services linked to a specific date or period, or services already started with the client's request and acknowledgement, may be treated differently under consumer law. The final quotation or agreement should clarify whether a withdrawal right applies to the specific booking.
If a client has questions about cancellation rights, they should contact Vision Run before confirming the booking.
Delivery
Final work is delivered digitally through an online gallery, download link, file-transfer service, or another agreed delivery method.
Estimated delivery timing depends on project scope and will be agreed or indicated before confirmation.
Final files are normally delivered only after full payment has been received.
Editing and raw files
Vision Run delivers selected and finished images, films, edits, or other agreed final deliverables.
Raw files, unedited footage, project files, editing timelines, or full camera originals are not included by default. Access to raw or project files must be agreed separately in writing and may involve additional fees and licensing terms.
Copyright and usage
Unless agreed otherwise in writing, Vision Run retains copyright in the photographs, films, edits, colour work, music, and other creative materials created by Vision Run.
The client receives a usage licence for the agreed purpose, channels, territory, duration, and scope described in the quotation or project agreement.
Commercial usage outside the agreed scope may require a separate licence or additional fee.
The client may not resell, transfer, edit, filter, modify, or use the work in a misleading or damaging context without written permission, unless this is expressly allowed in the agreement.
Portfolio and marketing use
Unless agreed otherwise in writing, Vision Run may use selected finished work for its portfolio, website, social media, presentations, awards, printed materials, and self-promotion.
For private, sensitive, confidential, or embargoed projects, clients can request a written restriction before the booking is confirmed.
For weddings, portraits, and events where identifiable people appear, publication is handled with reasonable care. Where additional consent is required, the client and Vision Run should agree how that consent is handled before publication.
Portrait rights, permissions, and locations
The client is responsible for ensuring that the project can be photographed or filmed at the agreed location and that relevant venue, access, event, or organisational permissions are arranged where needed.
For events and commercial projects, the client is responsible for informing participants, staff, guests, or attendees where necessary that photography or filming will take place.
Vision Run owns copyright in the created work, but identifiable people may have portrait rights. Publication permissions should be discussed before public use where required.
Client materials
If the client provides logos, brand assets, music, images, references, scripts, locations, or other materials, the client confirms that they have the rights and permissions needed for Vision Run to use those materials for the project.
Force majeure
Vision Run is not responsible for delays or failure caused by events outside reasonable control, including extreme weather, illness, accidents, venue restrictions, transport disruption, equipment failure despite reasonable preparation, government restrictions, or other unforeseen circumstances. If possible, Vision Run will work with the client to reschedule or find a practical solution.
Liability
Vision Run will carry out the work with professional care. To the extent permitted by law, liability is limited to direct losses and to the amount paid by the client for the relevant assignment. This limitation does not apply where liability cannot legally be limited.
Governing law
These terms are governed by Dutch law. Disputes should first be discussed directly and in good faith. If no solution is found, disputes may be submitted to the competent court in the Netherlands.
